Who this policy applies to

This policy applies when you visit our website, contact us, request a demonstration, download a resource, or use a MyEstateManager workspace. A customer may also add information about tenants, owners, suppliers, and other contacts to its workspace.

  • For account and website interactions, MyEstateManager may act as the organisation responsible for deciding how and why data is used.
  • For records entered into a customer workspace, the customer generally decides the purpose of processing and MyEstateManager provides the service on its instructions.

Personal data we may collect

The information we handle depends on how you interact with the website and platform. We aim to collect data that is relevant to delivering and securing the service.

  • Identity and contact data, such as a name, email address, telephone number, organisation, and job role.
  • Account data, including login details, workspace membership, permissions, and account preferences.
  • Property-management records, such as property, unit, tenancy, owner, vendor, rent, maintenance, document, and communication information.
  • Technical and usage information, including IP address, device and browser information, security events, timestamps, and pages or features used.
  • Messages and request details provided through contact, demo, comment, support, or resource-download forms.

How we collect information

Information may be provided directly by you, supplied by an authorised customer or workspace user, or generated when you use our website and services.

  • Directly from forms, account registration, support conversations, and platform entries.
  • From your organisation or another authorised user who manages a shared property-management workspace.
  • Automatically through essential cookies, server logs, and similar service technologies.
  • From service providers where needed to deliver email, hosting, security, support, or other platform functions.

Why we use personal data

We use personal data only where there is an appropriate purpose and legal basis. Depending on the context, this may include performing a contract, meeting a legal obligation, pursuing a legitimate business interest, or acting on consent.

  • Provide, maintain, personalise, and support MyEstateManager.
  • Authenticate users, manage permissions, prevent abuse, and investigate security events.
  • Respond to enquiries, schedule demonstrations, fulfil verified downloads, and communicate service information.
  • Process customer workspace records according to the customer’s documented instructions.
  • Improve reliability and user experience through troubleshooting and aggregated service analysis.
Good to know

Where processing relies on consent, you can withdraw that consent. Withdrawal does not affect processing already carried out before it was withdrawn.

How data may be shared

We do not describe customer data as something we sell. Information may be shared only where needed to operate the service, follow customer instructions, protect rights and security, or comply with law.

  • With authorised users of the same customer workspace.
  • With vetted service providers supporting infrastructure, email, security, analytics, support, or business operations.
  • With professional advisers, regulators, courts, or authorities where disclosure is reasonably necessary or legally required.
  • As part of a corporate transaction, subject to appropriate confidentiality and data-protection safeguards.

International transfers and retention

Service providers may process information in more than one country. Where data is transferred outside the EEA, appropriate transfer mechanisms and safeguards should be used where required. We retain information only for as long as reasonably needed for the relevant purpose.

  • Workspace records are generally retained while the customer account is active, subject to the customer’s instructions and agreement.
  • Some records may be kept longer for security, backup recovery, legal obligations, billing, or dispute resolution.
  • When data is no longer needed, it is deleted or anonymised in line with applicable retention processes.

Your data-protection rights

Depending on your location and circumstances, you may have rights to information, access, correction, deletion, restriction, portability, objection, and withdrawal of consent. Some rights are subject to legal conditions and exceptions.

  • If your information is held in a customer workspace, contacting that customer first may be the fastest route because it controls the workspace records.
  • We may request reasonable information to verify identity and protect data before completing a request.
  • You may also have the right to complain to your local supervisory authority. In Norway, this is Datatilsynet.
Good to know

Send privacy and account requests through our contact page. Include the relevant account email and workspace name, but do not send passwords or highly sensitive documents through an open message form.

Security, children, and policy changes

We use administrative, technical, and organisational measures designed to protect personal data. No internet service can promise absolute security, so we continuously review safeguards and respond to identified risks.

  • MyEstateManager is a business property-management service and is not directed to children.
  • Links to third-party websites are governed by those organisations’ own privacy notices.
  • We may update this policy as the service, providers, or legal requirements change. The date at the top identifies the current version.
